Sitting at the front-desk, the administrative assistant will be responsible for managing reception, office purchasing and greeting/directing visitors and general administrative duties.
RESPONSIBILITIES:
- Answering/routing incoming calls, sort/distribute mail, sending out plant-wide communications
- Stock coffee stations, inventory of coffee and office supplies
- Greet and check-in visitors to facility
- Coordinate meeting room schedules and assist in organizing company meetings or events
- Maintain company phone listing, headcount, visitor NDA log, and visitor training logs
- Provide support during client visits, audits and other on-site visitors, such as assisting with visitor travel arrangements, organizing lunches and set-up, and purchasing meeting supplies
- Managing shared visit and facility schedule
- Ensuring visitor compliance with facility, regulatory, and EHS requirements
- Creation and distribution of customer notification letters
- May do some local travel as needed (post-office, office supplies, food pick up, etc.)
