Office Administration & Customer Support:

  • Act as the first point of contact for customers, suppliers, and vendors.
  • Answer phones, greet visitors, and handle inquiries professionally.
  • Process incoming and outgoing mail and faxes; manage office supplies inventory.
  • Attend weekly meetings to stay updated on production and office activities.
  • Maintain organized digital and physical records.

Bookkeeping & Financial Management:

  • Manage full-charge bookkeeping duties: accounts payable/receivable, cash receipts, purchase orders.
  • Track revenue and profitability, and assist with financial reporting.
  • Process time and attendance, expense reports, and returns/credits.
  • Ensure accuracy of financial documentation and records.

Logistics Coordination:

  • Ensure job files have complete billing and shipping information.
  • Coordinate deliveries, shipments, and drive-away services.
  • Update production and delivery schedules as needed.
  • Enter parts and labor orders into the accounting system (QuickBooks with SOS interface).
  • Follow up on overdue orders and assist with inventory management.

Requirements

  • Proven experience in office management, bookkeeping, or related fields.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with QuickBooks (or similar accounting software).
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and as part of a team.
  • Prior experience with logistics, inventory management, or production scheduling is a plus.
